Privacy policy

This policy explains how HEYK Software Solutions LLC, operating WordPilot, handles data across the WordPilot web and mobile applications.

Data we process

• Account data: name, email address, user identifier, and authentication data managed by Clerk.
• Content: messages, documents, uploaded files, images, PDFs, and generated outputs.
• Voice: recordings transmitted only when you use transcription.
• Usage: interactions, technical information, security logs, and diagnostics.
• Billing: plan status, payment history, and transaction identifiers processed with Stripe.

How data is used

We use this data to authenticate your account, fulfill requests, generate and save documents, process uploads and voice, provide support, measure usage, prevent abuse, and meet legal obligations.

Service providers

WordPilot uses authentication, hosting, database, storage, artificial intelligence, payment, and diagnostics providers. They may process data only to provide their services to WordPilot, subject to applicable contracts and policies.

Sharing and sale

We do not sell personal data, and the mobile client does not use it for cross-app advertising. Data may be transferred to necessary service providers, at your direction, or when required by law.

Security

Production communications use HTTPS/TLS. We apply access controls and provider security protections, although no system can guarantee absolute security.

Retention and deletion

Data is retained while the account is active or as needed to provide the service. You can delete your account in Settings or through our deletion page. Backups, security logs, and transaction records may be retained for the strictly necessary or legally required period.

Optional onboarding and reviews

On the web, you may share your role, intended use, how you found us, and an optional WhatsApp number. Submitted answers, including saved steps, are linked to your account and help us understand our users’ needs. We contact you on WhatsApp to help you get started only with your separate permission. You can clear these answers and withdraw permission in Settings > My information and permissions.

Pre-download reviews are optional. They remain private unless you permit publication. Only your rating, comment, chosen public name, and date are displayed—not your email or phone number. You can edit your review or withdraw publication permission in Settings > Manage my WordPilot review. Deleting account data also deletes these answers and reviews.

Mobile beta waitlist

A confirmation email is sent through Resend after signup. Your email address and message language are shared with this provider to send that confirmation.

If you join the mobile beta waitlist, we store your email, iOS/Android preference, language and consent for up to 180 days using Upstash. This information is used only for beta invitations and mobile launch updates, not unrelated campaigns. No account or payment is created. Contact us at the address below to withdraw permission and delete your signup.

Your choices

You may access, correct, or delete your information, remove uploaded files, and request a copy of your data by contacting us. Some requests require identity verification.
